Our Terms of Service

Cotswold Expeditions Ltd terms of service are simple, fair and reasonable in every respect.  The stuff below is all in plain English and it’s as brief as we can make it. It’s not padded out with ludicrous or intimidating baloney which you might never read.

Our Terms of Service

Our terms of service, along with all other relevant information is available at the time of booking. They set out the terms and conditions of the contract between you, our guest (and friend we haven’t yet met) and Cotswold Expeditions Ltd, company number 13490130 Registered Office Address, 10A Market Place, Shipston-on-Stour, Warwickshire, CV36 4AG, United Kingdom.


All bookings are made with Cotswolds Expeditions Ltd subject to our simple and friendly Terms of Service. 


Throughout these Terms of Service, references to “you” include the first named person on the booking and all persons on whose behalf a booking is made. These conditions apply to any other person (s) to, and for whom, a booking is amended, or transferred.

Guest Responsibilities:

By making a booking, the first named person (i.e. the person paying for the day out) agrees, on behalf of all persons detailed on the booking form that:

01 Clear terms

He/she has been given an opportunity to read these Terms of Service and agrees to be bound by them.

02 Consents

He/she consents to our use of information in accordance with our Privacy Policy which in turn is subject to the General Data Protection Regulation (GDPR). Cotswold Expeditions Ltd is fully compliant with the GDPR.

03 Restrictions

Anyone placing an order for goods with age restrictions e.g. tobacco or alcohol, declares that he/she and all members of their party are of the appropriate age to purchase these goods and take full responsibility for the consumption of said age restricted items.

04 Bookings

He/she accepts financial responsibility for payment of the booking on behalf of all persons detailed on the booking.

05 Tech.

He/she agrees to ensure that their Internet Service Provider and their devices, i.e. mobile/cell phone or tablet, has sufficient data allowance to enable Zoom interactions to take place for the duration of the expedition.

06 Compensation

Cotswold Expeditions are unable to pay compensation for the cancelation or change of your travel arrangements (such as airline flights) because of unforeseeable circumstances beyond our control. 

07 Information

He/she agrees to let us have all the information we need in order to give you, and your group the very best experience. 

08 Travel safety

Whilst every care will be taken to ensure the road safety of our guests by Cotswold Expeditions Ltd e.g. pulling out at junctions, exiting lay-bys, negotiating crossroads and roundabouts, etc. Guests are entirely responsible for their own driving safety and that of their passengers whilst on Cotswold Expeditions.

09 Zoom

Guests are responsible for downloading the Zoom App onto their mobile device. We will assume that you are familiar with Zoom. We ask that you accept the Zoom email invitation sent to your party in good time before the expedition begins. Guests can participate in our expeditions without Zoom. 

10 Dogs dinner

The composition of the complimentary “Dogs Dinner” provided by the Pub venue is available on request. You will be responsible for checking if this is suitable for your family dog (s). We have had a Four Paw satisfaction rating from canine guests.

11 Badges

Guests are advised to wear their name badges issued at the start of the expedition. This will ensure you will receive priority in the shops we visit, (i.e. faster payment at tills). Name badges also ensure happy encounters and friendships made over lunch in the Pub. 

12 More dogs

Guests are responsible for all aspects of the behaviour of their own dogs which are welcome on our expeditions. Dog fouling must be dealt with by owners as appropriate. Dogs should be kept on a lead at all locations, especially in fields where livestock or other animals may be present. 

13 Refunds and Cancellations Policy

Customers can transfer their booking to another person or another date 

any time up until 24 hrs prior. You may also add or subtract people 

from your party up until 24 hrs prior. You may obtain a complete 

refund (less our bank charges) up to 10 days prior. We guarantee 100% 

satisfaction with your Cotswold Expedition experience. We’ll give you a 

full refund if this doesn’t happen.

14 Gas/fuel/EV

All guests are responsible for ensuring their vehicles are fuelled and / or charged ready for the expedition. There are EV charging points on our 106-

mile expedition being added all the time. There will be time for charging to take place.

15 Schedule

All expeditions must depart on time. If you are delayed and we have to leave without you, guests will be able to catch us up and join the expedition. This is because you will still be able to access the audio commentary and we’ll help you to find us. 

16 Children

Children of any age are welcome on our expeditions. Their accompanying adults are responsible for their safety.


17 Your safety

Please remember that you are responsible for your own health and safety whilst on our expeditions. You’ll need to be careful when negotiating styles, gates, walls, footpaths and knowing what to do about stinging nettles, insects, etc.

A Our promise

We promise that your expeditions will be conducted with skill and care as we pull out at junctions, exit lay-bys, negotiate crossroads and roundabouts, etc. We guarantee that you will have a great experience and a wonderful day out. Your children will have their imaginations fired and your family dog will wag his, or her tail off.

B Food & drink

Cotswold Expeditions will have arranged and paid for your inclusive lunch, plus an alcoholic or soft beverage of your choice in our award winning 350-year-old pub. This also goes for our famous ‘Dogs Dinner’, early morning tea/coffee, car parking and all admission charges. Additional snacks and drinks would be charged extra.

C Bad weather

In the unlikely event of us being unable to run the expedition due to forecasted and/or adverse weather conditions, Cotswold Expeditions Ltd will issue an alternative booking date or full refund to the original source of the booking.

D Driver safety

Audio commentary will be received by all guests during the day, but we won’t impart visual information that could prove a distraction to drivers.

E Universal accessibility

The Cotswold Expedition experience is universally accessible to all, regardless of ability or disability. Mobility scooter and wheelchair users are welcome on our expeditions. We take the Disability Discrimination Act 1995 seriously plus British Standard 8300. 

F Language

Cotswold Expeditions content will be given in English.

G Departure

Our expeditions commence at The Swan Inn, High Street, Moreton-in-Marsh GL56 0LL. Free early morning coffee or tea is provided by The Swan.

H Refunds

We are unable to give a refund for any aspect of the expedition that you may have missed, likewise if guests leave the expedition at any time during the day. If you do decide to leave the expedition, please let us know, otherwise we’ll worry about you.

I Expedition pace

Guests are responsible for keeping up with the expedition as we progress at a modest pace. We lead with great care at all times. At road junctions, the leader will pause until the whole expedition convoy is able to proceed and pull out together. If you don’t make it, we’ll slow down and wait for you to catch up.

J Fording streams

Fording streams or shallow rivers in cars is exciting, but needs to be carried out safely. At times of flood or spate, an alternative route may need to be found. We’ll never lead you across a river ford that is unsafe or too deep. 

K Photos / videos

We will take photos and videos of our guests during the day for the purposes of sharing on our Cotswold Expeditions Facebook page. This is a great way for our guests to exchange photos/videos with others on the same trip. We hope you will give us permission to use particularly good images on the Cotswold Expeditions website.

L Cancellations

We reserve the right to cancel the expedition for any participant, with a full refund. We will absorb any bank charges arising.
